1. Introduction

Since the 25th of May 2018, the new General Data Protection Regulation (GDPR) is applicable.

VusionGroup makes the protection of personal data a requirement and a commitment. In all transparency our goal is to inform you about what the Data Privacy Policy covers, how it can be relevant for you and in conformity with the GDPR.

In a nutshell, the information we store, and use is to enable our recruitment process– to facilitate communication between our Human Resources (HR) department and the candidates and to evaluate the candidates’ profiles to the job offers. The legal basis of such processing is the contract.

Our information systems backup and store all information in a secure, off-site and encrypted environment which only SES-imagotag can access.


2. Our Data Privacy Policy

Our Data Privacy Policy lets you know what data we may collect about you, how we use it and gives you information about your rights and how you can get in touch with us.


3. Information we collect

As a reminder, personal data as notion can be directly or indirectly nominative data, as defined in the GDPR.
In order for us to process business transactions we collect customer and supplier registered company details which will include contact details such as:

  • Name
  • Title
  • Email
  • Physical Address
  • Telephone number
  • Type of employment contract requested (permanent, fixed-term, temporary, zero-hour,
    internship, etc);
  • Curriculum Vitae (academic course, training(s), professional experience, hobbies,
    interests, associative projects, social networks, photos, driving license, etc.)
  • Letter(s) of recommendation
  • Answers to personality tests and/or aptitude tests

If you do not provide us with this data, we will not be able to evaluate your application for the job offer and will therefore not be able to proceed with it.

  • You may give us information about you by:
  • A contact form;
  • The exchange of documents (CV, business cards, etc.) in person during physical
    meetings (job fair, chance meeting, intervention in schools and universities, etc.) ;
  • Our social networks (especially LinkedIn);
  • Our recruitment platform tool, SmartRecruiters.

When you give us information about you but also when we collect it indirectly:

  • Through recruitment agencies and/or recruitment process outsourcing;
  • Finding it on the internet or anywhere it is publicly disclosed;
  • From personal or professional contacts, actual or future (co-optation system, word of
    mouth, etc).


Use of our website is usually possible without providing personal data. If personal data [for example, name, address, or email addresses] is collected on our website, this is always done on a voluntary basis, to the extent possible. This data will not be forwarded to third parties without your express consent. We expressly state that data transmission on the Internet [e.g. when communicating via email] can have security gaps. Seamless protection of data from access by third parties is not possible.


4. Purpose of the processing

The purpose of personal data processing is:

  • To search and identify relevant profiles in order to gather applications;
  • To assess the ability of candidates to occupy the job offered;
  • To measure the professional skills of the candidates;
  • To pre-select candidates;
  • To constitute a talent bank for future job offers proposed by VusionGroup.
  • To carry out statistical studies in order to pilot our recruitment process (in particular within the framework of the follow-up of our index on parity); the data used for this purpose will be aggregated and consolidated.


5. Personal data retention periods

We only keep your personal data collected as part of our recruitment process for:

  • Two (2) years for candidates rejected at the end of the recruitment process, in order for SES-imagotag to be able to communicate with you about the rejection of your application and to enable us to carry out statistical studies on the pilot of our recruitment
    process (for this purpose, the data will be aggregated);
  • Two (2) years for rejected and selected candidates in the context of feeding our talent bank for different or/and future job offers, subject to the express consent of said rejected candidates for this purpose; This two-year retention period may be renewed for successive periods of two (2) years after notification by email and consent of the candidate;
  • Two (2) years for candidates selected at the end of the recruitment process, in order for SES-imagotag to be able to communicate with you about the upcoming hiring and and to enable us to carry out statistical studies on the pilot of our recruitment process (for this purpose, the data will be aggregated);
  • Five (5) years from the end of the recruitment process, for all candidates, to resolve any potential disputes and for current or future legal proceedings, to preserve records of our services and to defend our legal rights.
  • Any period required by law.


6. Access to your personal data

Your personal data will be accessible to:

  • VusionGroup HR department members;
  • The managers supervising the future candidate;
  • The managing director of the company.

The above-mentioned persons will only have access to your personal data in the context of the recruitment process and in accordance with the purposes expressed in this Privacy Policy.


7. Your rights

You have the right at any time to receive information at no charge concerning your stored personal data, the origin and recipients of your personal data, and the purpose for which your personal data is processed.

You also have the right to:

  • ask us to delete your information;
  • request a copy of your personal information and relating to how we use your information;
  • request restriction of the processing of your personal data;
  • request portability: If we have collected your personal data following your consent, or because we need it in order to provide you with a product or service (under a contract), you have the right to receive your personal information back in a ‘machine-readable’ format;
  • correct inaccurate data collected;
  • lodge a complaint if you think that our use of your information does not comply with the GDPR.

8. Sharing information with third parties

We only pass your information with you consent or as necessary with the following third parties:

  • Our subcontractors providing personality tests or other application assessment services;
  • Legal authorities and regulatory bodies, if required by law or judicial decree;
  • Parties involved with current or prospective legal proceedings, or assisting us to establish and exercise or defend our legal rights

In a case of a transfer we will take steps to ensure that your personal information will be adequately protected as required by the GDPR.
It means that we will not transfer your information outside France if the EU or a Country does not have a same level of law protection.


9. Security

Our information systems backup and store all information in a secure, off-site, and encrypted environment which only VusionGroup can access.
We regularly review the technical and organizational security measures we have in place on our information and communications systems to prevent the loss, misuse, or unauthorized alteration of your personal information.

The provider of the website automatically collects and stores information in so-called server log files, which are transmitted to us automatically by your browser. This information consists of:

  • Browser type / browser version
  • Operating system used
  • Referrer URL
  • Host name of the accessing computer
  • Time of the server request

This data cannot be associated with specific persons. A combination of this data with other data sources does not take place. We reserve the right to retroactively check this data if we become aware of solid indications of unlawful use.
